How to send a reminder message?

Short answerA reminder message customers answer is short, specific and gives one action. State the day and arrival window, name the person coming, and ask for one reply, such as C to confirm. Avoid long greetings. Three or four lines is plenty for most service visits.

The explanation

Here is a simple pattern: Hi Maria, this is Dave from Bright Gutters. We are scheduled to visit tomorrow, Thursday, between 9 and 11 am at 14 Oak Street. Reply C to confirm or call us to change it. That has the date, the window, the address and the one action you want.

For access-heavy jobs add one prep line: Please open the side gate and secure pets. For recurring clients, trim it further: Cleaning tomorrow at 10. Reply if anything changes. People respond to messages that take seconds to read.

Avoid messages that sound automated and cold, but also avoid cute. Use the same name your customer knows. After a few weeks, check which wording gets more confirmations or reschedules, and keep the version that works.

  • Asking for several replies in one message.
