Why are my barber customers always asking when I am arriving?

Process: Reminders and texting. Trade: Barbershop. Reviewed 2026-10-07.

Short answerBarber clients ask when you will arrive because they are not sure whether their chair time is exact. Confirm the exact slot, send a reminder the day before and a short message when the chair is ready or running behind. Walk-in heavy shops need a visible queue time.

The explanation

A haircut is booked to a specific time, but if the barber before them runs over, the client has no idea. They either arrive early and wait or text to ask, and the text interrupts the barber mid-cut.

A good reminder for barber names the confirmed day, the arrival window and the exact slot, the barber name and the shop address with parking notes. Send it the day before so the customer can plan around it instead of guessing.

The second message goes out on the day. When the chair ahead is running long, one short message with a new estimate saves the client a trip and keeps the front of the shop calmer. Keep it to two short sentences and give a way to reply or call if plans change. Send it from the same number every time so customers recognize it.

Steps

  1. Confirm the day and an honest arrival window for each barber job when the visit is accepted.
  2. Send a reminder the day before that lists the exact slot, the barber name and the shop address with parking notes.
  3. Text the customer when the crew leaves the previous stop, with a plain minutes estimate.
  4. If the crew will be more than fifteen minutes behind, send a short message with a new estimate before the customer asks.

What to watch for

  • A window that is wider than the customer can wait.
  • Reminders sent so early that people forget them.

How Apex does it

Built, rolling out

Built. A real server path exists; only setup steps remain before customers can use it. Status as of 2026-10-07; the badge shows the least-built feature involved.

Apex sets an arrival window on each visit and can send a day-before reminder and an on-the-way text with an ETA. Texting needs the owner's own provider account and carrier registration to be connected first, so those messages stay off until then.
