Short answerSet the next-due date the day you finish the job, and attach a reminder that fires a few weeks before it. Air duct customers return every few years, so memory fails. Record the home, the system type and what you found, so the next quote starts from facts instead of guesses.

The explanation

The long gap is the whole problem. A customer cleaned in 2026 may need you in 2029, and nothing in your head or a paper file will bring them back reliably. The date has to live in a system that prompts you, and it has to be written at the moment of service.

Record what makes the next visit easier: number of vents and returns, system type, access points, pets, and any notes on mold or damage. Add photos of the access panel. The next visit then starts with a quote the customer trusts rather than a new inspection.

Make contact useful when it arrives. A short message a few weeks before the due date, with the last visit date and an easy way to request a time, converts better than a generic promotion. If a customer moves, update the address so a new owner can be reached.
