Why is QuickBooks Online so expensive?
Short answerQuickBooks Online may feel expensive because it is billed forever, with plans from $38 to $340 a month, while a paper ledger or spreadsheet costs nothing. [1] It is fair if it saves more bookkeeping hours than it costs, so price your own hours before deciding. [1]
The explanation
Convert the plan to hours. At $85 a month, the Essentials plan [1] costs about the same as one or two hours of a skilled helper's time. If it saves your bookkeeper three hours monthly, it pays for itself. [1]
The offer of 50% off for three months and a 30-day trial lets you test with real transactions. [1] Run one full month: connect the bank feed, send invoices, reconcile, and time it.
Think about the work your software does not remove. Entering jobs from the field twice, once in the scheduler and once in accounting, is where the time goes. A sync between the two matters more than the price of the plan. Keep a record of the hours before and after. If the hours are not saved, step down a plan or switch tools at the next renewal.
How Apex does it
Rolling out
The screen and the rules are built and tested. Saving real customer data is not connected yet. Status as of 2026-10-07; the badge shows the least-built feature involved.
Apex creates invoices from completed visits and sends them by email or text once those channels are connected. An accounting sync is being built, so entering jobs twice remains until it is ready.
