The explanation

Every appointment has hidden attachments. There is a technician expecting to arrive, a reminder message scheduled to go out, sometimes a deposit, and often a route built around the stop. Cancelling only the calendar entry leaves those attachments running, which is how a customer gets a reminder for a visit that no longer exists.

Work in a fixed order. First, change the appointment status so the schedule is true. Second, send a short written confirmation to the customer with the time that was cancelled. Third, check the attachments: the reminder, the deposit rule, the route, and any special-order parts.

If you are the customer, the same order applies from your side: use the link or reply in the original confirmation, then keep that message as proof.
