How do I get rid of software I no longer use in my business?
Short answerRemove unused business software in four moves: list every subscription from your card statements, export any data you may need, move active work to the tool you keep, then cancel and confirm in writing that billing has stopped. Cancel last, because deletion can be permanent.
The explanation
Start with the statements, not memory. Scan three months of card and bank charges for recurring items. Forgotten tools often hide under the vendor's parent company name. Mark each as keep, replace, or remove, and note the renewal date so you do not pay for another term.
Before cancelling, export what you may need: customer lists, past invoices, job history, and files. Some tools delete data soon after cancellation, and others keep it only for a limited time. Store the exports somewhere you control and label them with the date.
Then cancel in the way the vendor requires, which can be a settings page, an email, or a call. Take a screenshot of the confirmation and watch the next statement to confirm no further charge. If a payment link, booking widget, or form from that tool still sits on your website, remove it too, or customers will land on a dead page.
Steps
- List every recurring software charge from the last three months of statements.
- Export customer, job, and invoice data and store it yourself.
- Move active work and any website embeds to the tool you keep.
- Cancel, save the confirmation, and check the next statement.
How Apex does it
In progress
Part of this is built. The rest is not. Status as of 2026-10-07; the badge shows the least-built feature involved.
Apex is designed with a customer export as a CSV, import from other tools' exports, and a data export on cancel. Export and import are partly built or rolling out, so check the status badges before relying on them.
- LD16Customer export (CSV) at any time(In progress)
- OB04Import from Jobber / HCP / Workiz / ServiceTitan exports(Rolling out)
- AD10Data export on cancel(In progress)
Apex Flow Scheduler is in early access. See how we label status.
