Work order: what it means
DefinitionA work order is the record that tells a technician exactly what job to perform: the customer, the address, the tasks, the expected parts and any notes about access or past visits. After the visit it also holds what was done, photos, time spent and materials used.
How it works in a service business
A good work order removes guessing. The tech should not have to call the office for the gate code or whether the customer approved the extra repair. Before the visit it works like a plan; after the visit it becomes the history that billing and warranty questions rely on. The tradeoff is detail versus time. Too many required fields slow the office, too few leave the tech blind. A common mistake is letting work orders live only on paper in the truck, so the office cannot see what changed until days later. Include safety notes, the promised price or estimate, and a field for what was actually done.
Example
The work order for a water heater swap lists the address, the approved model, a note about a narrow basement stair, and a checklist the plumber completes before closing the job.
