How long should you keep invoices, paper or digital?
Short answerKeep each invoice at least as long as it supports an item on your tax return, which the IRS says is generally until the period of limitations ends, often three years [1]. A clear digital copy that you can retrieve and print is usually a practical way to store it, but ask your accountant.
The explanation
The IRS retention guidance does not depend on paper. It depends on whether you can show what the record supports [1]. A legible scan or a system record that includes the date, customer, amount and service is the useful thing.
Do the basics well. Name files by date and customer, keep one folder per year, and back the folder up to a second place. If an invoice has a signature or photo attached, keep those together with it so the job file is complete.
Paper still has uses, such as a signed work order. If you keep it, scan it the day you receive it. When you decide to discard anything, check with your accountant first, because ongoing audits, disputes or state requirements can extend the time.
Steps
- Scan or save each invoice the day it is issued.
- Name it with the date and customer.
- Keep one folder per year and back it up.
- Hold signed paper originals for the retention period.
What to watch for
- Faded thermal receipts that become unreadable.
- Cloud accounts that lapse and lose files.
