How do I reduce no shows?
Short answerAsk every client to reply to a confirmation message, call anyone who stays silent, and keep a waitlist of people who would take an earlier slot. An unconfirmed visit becomes a decision point instead of a surprise, and a refilled slot means a cancellation costs you nothing.
The explanation
Two ideas work together here. The first is a reply-to-confirm step, a day or two before the visit. It reveals risk early. A client who answers is committed, and one who does not is flagged while you still have time to act.
The second is a waitlist. When a client cancels or fails to confirm, you offer the slot to people who asked for something sooner. Many small businesses keep this list on paper or in a note, which works until the list grows. The key is to contact the list quickly, in order, with one clear offer.
Keep the lead time in check as well. Appointments made many weeks ahead are easier to forget, so a longer gap deserves an extra reminder partway through. That one touch costs little and saves the visit.
Steps
- Send a confirmation message that asks for a one-word reply.
- List unconfirmed visits the evening before and call each one.
- When a visit drops, message the waitlist in order with the exact slot.
- Add an extra mid-way reminder for visits booked far in advance.
What to watch for
- Treating a delivered message as a confirmed visit. Only a reply counts.
- Offering a freed slot to everyone at once, which creates double claims.
How Apex does it
In progress
Part of this is built. The rest is not. Status as of 2026-10-07; the badge shows the least-built feature involved.
Apex is designed to send confirmation messages, keep a waitlist that backfills open slots and create follow-up call tasks for unconfirmed visits. The waitlist is in progress, and texting needs a connected provider account first.
