How to keep up with clients?

Process: Follow-up and reviews. Reviewed 2026-10-07.

Short answerKeep up with clients by giving every customer record a next-contact date and a one-line note about the last visit. A weekly pass over the overdue dates replaces memory. The list sorts itself by who is due, so nobody waits months for a call you meant to make.

The explanation

Most owners lose clients by drift, not by anger. The customer who had a good visit in March is still happy in September, but nobody reached out, so a competitor with a yard sign got the call. A next-contact date turns vague intent into a dated task.

Set the date at the end of every job, while the visit is fresh. A recurring customer already has a next visit, so the date is the next visit itself. A one-time customer gets a date based on how long the work lasts: a carpet clean might be a year out, a lawn treatment a few weeks.

Then block twenty minutes every week to clear the overdue list. Call the high-value customers, text or email the rest, and write one line of what was said. The note matters because the next person who calls that customer should not start from zero.

Steps

  1. Add a next-contact date to every customer when the job closes.
  2. Write one line of notes: what they asked for and anything they complained about.
  3. Once a week, sort by overdue and clear the list in one sitting.
  4. Call high-value customers, message the rest, then set a fresh date each time.

What to watch for

  • Do not keep dates in your head or on sticky notes the crew cannot see.
  • Skipping the weekly pass for two weeks is how the list becomes useless.

How Apex does it

Built

Built and working against the real database for our first business only. Early access. Status as of 2026-10-07; the badge shows the least-built feature involved.

Apex keeps follow-up reminders and follow-up call tasks on each customer, with notes and activity history beside them, so the next person who opens the record sees what was said last and what is due.
