How to write a reminder message?
Short answerWrite each reminder message around one request and one easy action: pay this invoice, leave this review, or pick a date for the next visit. Keep it to a few lines, use the customer's first name, mention the specific job, and include a single link. Tone should be friendly for rebooking and firm but polite for payments.
The explanation
For an unpaid invoice, name the job and the amount, say when it was due, and give the pay link. Leave out guilt. A line such as, in case this slipped through, usually works. If it is a repeat reminder, state the next step plainly, such as a late fee in the terms you agreed to.
For a review request, send it within a day of a good visit and make it one tap. Thank the person for the work before asking. Do not offer payment for reviews, and do not push people who had a problem toward a public page before you have fixed the issue.
For rebooking, mention the last service and a natural interval: your carpets were cleaned in October, want a spot for next fall. Offer two dates or a booking link. In all three cases, send once, follow up once, and stop. Track which wording gets action and keep it.
What to watch for
- Combining a payment reminder and a sales pitch in one message.
- Sending a review request when the customer has an open complaint.

Part of this is built. The rest is not. Status as of 2026-10-07; the badge shows the least-built feature involved.
Apex has automatic payment reminders, a review request after each job and a rebooking reminder for lapsed customers. The review request is built, the payment reminders are rolling out, and the rebooking reminder is in progress.
