How do I stop forgetting to follow up with auto repair shop customers?

Short answerTie a task to four events on each repair order: an estimate waiting for approval, a part arriving, the pickup and any declined work. Auto repair customers go quiet at the estimate and after pickup, so those two tasks save the most revenue and the most reviews.

The explanation

The estimate is the biggest leak. A customer who has not answered by the end of the day will often not answer at all. A call or text the same afternoon, with the amount and an offer to explain, rescues approvals that would otherwise age out.

Pickup is a chance to set the next step. Ask for the review in person while the customer is satisfied, and write the next service interval on the invoice. A message the next day to confirm the car is driving well shows care and catches problems early.

Declined work is a future sale. Record the item, the date and what you saw, and set a task to check in at a sensible time, such as before winter for brakes. Keep the tone helpful. The customer who remembers you flagged it before it failed will call you first.
