Is there a free landscaping scheduling app for crews?
Short answerFree scheduling apps can give each landscaping crew its own calendar. Square Appointments lists staff calendars with no employee limit on its Free tier [1]. The gaps show up in crew assignment, job photos and moving a rained-out day, so test those with a real crew before you rely on the app.
The explanation
Landscape crews are teams: a lead, one or two helpers, a truck and a trailer. The schedule should assign the job to the crew, not to one person, and the lead's phone should show the day. A calendar that assigns by individual forces you to enter every helper on every visit.
Photos matter for upsells and disputes. A before-and-after picture of a hedge cut or a bed clean-up settles questions and supports an extra charge for overgrowth. Free calendars may attach a photo to a customer, but check whether the crew can add one from the field.
The rain test remains the sharpest. Mark a day rained out, move its jobs, and see how the crew leads find out. If the answer is you texting four people, the app saved you nothing on its worst day.
Steps
- Create a crew calendar with a lead and two helpers.
- Assign five jobs to the crew rather than to each person.
- Have the lead add a photo from the field.
- Move a rained-out day and see how the lead is told.
What to watch for
- Assigning every helper separately to every visit.
- Crew leads learning about changes from a text, not the app.
In lawn care
Landscape crews move as a unit with a truck and trailer, so the crew, not the person, is the natural thing to schedule. All lawn care scheduling questions.
How Apex does it

Part of this is built. The rest is not. Status as of 2026-10-07; the badge shows the least-built feature involved.
Apex lists recurring crew assignments and before and after photo documentation, each with its own status badge. A 14-day free trial needs no card, and two to five users cost $99 a month afterward.
