The explanation

For a service business, the CRM is the memory of the company. It should answer what you did at this address last time, what you quoted, what the customer said about the gate, and when to call again. A contact list with a phone number answers none of those.

Free general CRMs handle contacts and sometimes deals. Appointment tools, such as the free tier at Square Appointments, add a calendar [1]. Neither is built around a visit that repeats, a quote that needs approval or a technician who needs the history in the field.

Judge a free CRM with three tests. Can you attach a job and a photo to a customer? Can you set a follow-up for a date and see it on a list? Can you export all of it to a spreadsheet? Without those, the free price becomes a migration chore later.
