How to fix software problems?
Short answerFix software problems calmly by having a fallback in place before the failure: a printed or texted schedule for tomorrow, a recent export of your customer list, and a short list of who calls whom. The crew keeps working while you troubleshoot. Without a fallback, a one-hour outage costs a whole day.
The explanation
The day software breaks is rarely a quiet day. If the schedule only lives in one app, a login problem at seven in the morning means crews do not know where to go. Print or text tomorrow's plan the evening before. It takes two minutes.
Export your customer list on a regular schedule, monthly at minimum. A spreadsheet with names, phones, addresses and next visit dates is enough to keep working by phone if you must. Store it somewhere you can reach from a different device.
Write down a three-line outage plan. Who calls the vendor, who calls customers that are affected, and where the crew checks in. Then when a problem hits, nobody has to decide how to handle it while stressed, and the crew hears one consistent instruction.
