How do you deal with difficult clients?
Short answerDeal with difficult clients by closing the gaps that cause the conflict: a written scope, a stated price for extras, and a clear cancellation rule, all agreed before the first visit. Most hard clients are people who were surprised. Remove the surprise early and the number of hard conversations drops.
The explanation
Look at your last three bad client experiences and you will usually find a gap: the customer thought the price included something it did not, or expected a time you never promised. Those are scope problems wearing the costume of personality problems.
Put the agreement in writing in plain words. List what is included, what counts as an extra and its price, the arrival window, the payment due date, and what happens if they cancel late. Send it before the visit and keep a copy in the customer record.
When a client still pushes past the agreement, point to the page calmly. You are not arguing opinions, you are reading a shared document. If the pattern repeats, you are allowed to decline future work, and a note on the record keeps the whole team consistent.
Steps
- Write the scope in plain words: included, extra, price of extras, arrival window.
- State the payment due date and the late cancellation rule.
- Send it before the first visit and store a copy on the customer record.
- When a dispute starts, point to the agreement instead of debating memory.
What to watch for
- Verbal promises on the phone that never reach the record.
- Waiving a rule once without noting why, which teaches the customer it is optional.
How Apex does it

Part of this is built. The rest is not. Status as of 2026-10-07; the badge shows the least-built feature involved.
Apex lets the owner set a cancellation policy and a terms acceptance step on the booking flow, and keeps notes and activity history on the customer, so what was agreed is on the record when a disagreement starts.
