How to cancel a scheduling invite?

Process: Cancellations and no-shows. Reviewed 2026-10-07.

Short answerTo cancel a scheduling invite you sent, withdraw it so the held slot reopens, tell the customer it is no longer valid and send a fresh option if you still want the work. Use expiry times on future invites so an unanswered hold does not block your calendar for days.

The explanation

An invite or proposal holds a time while the customer decides. If the customer goes silent, that hold keeps real capacity blocked. Pick a short expiry, such as a day or two, so the slot returns automatically. Write the expiry on the invite itself.

When you withdraw one on purpose, say so. A message such as that time is no longer available, here are two new options, prevents confusion if the customer clicks an old link later. If the tool allows single use links, the old one stops working once cancelled. Tell the customer plainly which time is held and until when.

Track unanswered invites weekly. A pile of stale holds signals either a slow follow up or poorly targeted offers. Call the few that matter, and release the rest.

What to watch for

  • Open holds blocking the best slots.
  • Old links still working after withdrawal.
  • No follow up on unanswered invites.

How Apex does it

In progress

Part of this is built. The rest is not. Status as of 2026-10-07; the badge shows the least-built feature involved.

Apex is designed to hold a slot as pending until confirmed, backfill from a waitlist and create lead follow-up reminders. Request mode and follow-up reminders are built for our first business; the waitlist is in progress.

  • BK18Waitlist with auto backfill(In progress)
