How to cancel an estimate in field service software?

Short answerTo cancel an estimate, mark it as declined, expired or withdrawn instead of deleting it, so the customer can no longer approve it and your win and loss records stay intact. Choose declined when the customer said no, expired when time ran out and withdrawn when you pulled it back.

The explanation

Deleting an estimate erases what you quoted, what the customer saw and why it did not close. Keeping the estimate with a status preserves that. Over a season, the pile of declined and expired quotes shows how often you win and where prices or timing lose jobs.

Choose the status that matches the story. Declined means the customer rejected it. Expired means the validity date passed. Withdrawn means you cancelled it because the scope changed or you cannot do the work. If the customer still has a link, make sure the status stops them from approving an old price.

Where scope changed, make a new version rather than editing the old one. A revision history shows what changed and prevents a later argument about which price was agreed.
