How do I never miss a customer call in my auto repair shop business?

Process: Phone and AI answering. Trade: Auto repair shop. Reviewed 2026-10-07.

Short answerSort calls into status checks, new appointments and quotes, answer status checks with a text link or update, and send an automatic text to missed callers. Most shop calls ask how a car is doing, which can be handled without the service writer picking up the phone each time.

The explanation

A shop counter handles walk-ins, parts runs, estimates and a ringing phone at once. When everything is a live call, the person with the most urgent need, a new customer with a car that will not start, waits behind someone asking whether their car is ready.

Separate the types. For status checks, send an update when the car moves through stages: received, being diagnosed, waiting on parts, ready. Customers who get those messages stop calling. For new appointments, a booking link in the missed-call text lets them self-serve. Quotes need a person, so queue them for a callback.

Voicemail read as text helps the service writer triage from the counter. A message that says my car is smoking gets a different priority from one that asks about a Tuesday oil change.

Steps

  1. List the three call types you receive and write a one-line response for each.
  2. Turn on a missed-call text that includes your booking link.
  3. Send stage updates for cars in the shop so status calls drop.
  4. Read voicemail as text and sort by urgency before returning calls.

In auto repair shop

Shops juggle drop-offs, pickups and parts calls while customers phone for status on cars already in a bay. Cutting the status calls frees the counter to answer the ones that bring in new work. All auto repair shop scheduling questions.

How Apex does it

In progress

Part of this is built. The rest is not. Status as of 2026-10-07; the badge shows the least-built feature involved.

Apex is designed to text missed callers a booking link, transcribe voicemail and host an online booking page. Texting needs a connected provider account and carrier registration, and voicemail transcription is in progress.
