What should I say when I decline a repeat problem client?

Short answerDecline a problem client's booking with a short, neutral message that states you cannot take the appointment and wishes them well. Do not list grievances or invite debate. Use the same wording each time, send it in writing, and note the date on the customer record.

The explanation

Your goal is to close the door without opening an argument. A template does that: thank you for reaching out, we are unable to schedule this appointment, we wish you the best in finding a provider. It states the outcome, gives no openings to negotiate, and stays polite.

Avoid reasons that can be disputed. Saying you are fully booked invites them to ask about a later date. Saying they were rude invites a rebuttal. Saying you are not able to take the booking is true and ends the discussion. If the person insists, repeat the same sentence once and stop replying.

Keep the file. Record the date, the request, and your reply. If the person posts a complaint or contacts you again, you have the sequence in front of you. Where a request involves safety, such as threats, keep copies of the messages and consider reporting.
