What is the best scheduling software?
Short answerNo scheduling software is best for everyone, so choose by five criteria: the shape of your jobs, who books them, crew size, how well the tool works on a phone, and how easily your data moves in and out. A tool that wins on one can lose on another.
The explanation
Job shape comes first. One-visit appointments, repeating routes and multi-week projects need different tools. Next, who books: customers online, staff by phone, or both. Then crew size, since a solo operator and a ten-truck company face different needs.
Phone experience matters because most work happens away from a desk. Try the tool on a phone, in a place with weak signal, with a crew member. Finally, check portability: can you export customers, jobs and invoices as files, and what happens if you cancel? A tool you cannot leave is a risk.
Run a trial with one real week of work and score each candidate on the same sheet. Ask the vendor for plan limits in writing and read the cancellation terms. Reviews are useful for patterns, but your own test is the real evidence.
What to watch for
- Choosing from a ranked list you did not test against.
- Ignoring export and cancellation terms.
How Apex does it

Part of this is built. The rest is not. Status as of 2026-10-07; the badge shows the least-built feature involved.
Apex includes a guided setup wizard, and works toward a customer CSV export at any time and month-to-month plans with in-app cancellation. Export and cancellation are partly built, and Apex is in early access.
