How do I stop paying for software I barely use in my contractor business?

Short answerList every tool, what it holds and who opens it. Contractors often layer a CRM, a time tracker and an estimating tool that overlap, plus seats for subcontractors who never log in. Cancel the duplicate that holds the least data, remove idle seats, and keep one system as the home of each project.

The explanation

Overlap is the main waste. A bid may live in an estimating app, the client in a CRM, the schedule in a calendar and the invoices in accounting. Choose the home for each fact and delete the copies you do not maintain.

Seats come next. Subcontractors often get logins for a project and keep them for years. Review the user list monthly, and remove anyone who has not signed in for sixty days. A removed login can be restored later; a forgotten one bills every month.

Check contract terms before cancelling. Some plans are annual and non-refundable, so the lowest-cost move is to stop adding to the tool and let it expire. Put the end date in your calendar. Export project files and client records first, because a closed account may hold them hostage.
