Write a four-column table: tool, monthly cost, job it does, last used. Shops commonly find two tools that both book appointments, or an inspection module whose reports nobody sends. A tool with no honest answer in the job column is a candidate for cancellation.

Vehicle history is the asset to protect. A shop's value to a repeat customer is knowing what was done to their car last time. Before cancelling anything that stores it, export vehicle, owner and service records, and confirm the file opens and has the columns you expect.

Then renegotiate what remains. Ask whether a monthly plan exists and whether a lower tier holds your actual use. If you pay per seat, count who sits at the desk. A shop with two service writers does not need five logins.
