How do I stop non paying clients before they start?
Short answerPrevent non payment by collecting before or at the time of service. Take a deposit on larger jobs, keep a card on file for repeat work, state payment terms in writing before the first visit, and send the invoice the same day. Risk concentrates in unpaid work, so reduce the unpaid window.
The explanation
Most chasing happens because payment was left vague. Decide your rule and state it at booking: due on completion, due in seven days, or charged to a card on file. A customer who agrees in writing at the start has a harder time disputing the rule later.
Deposits filter and protect. A deposit on a large job confirms intent and covers materials. For recurring service, a card on file with the customer's consent turns payment into a routine event, not a monthly decision.
Shorten the gap between work and invoice. An invoice sent the same day, with a pay link, is paid faster than one sent at the end of the month. If a client is slow twice, change their terms to prepay. That one change ends most repeat problems.
Steps
- Write your payment rule and show it before the customer books.
- Require a deposit on large jobs and a card on file for recurring work.
- Send the invoice with a pay link the same day as the visit.
- Move a repeat late payer to prepayment after the second late invoice.
How Apex does it

Part of this is built. The rest is not. Status as of 2026-10-07; the badge shows the least-built feature involved.
Apex is designed with deposits at booking, card on file with autopay, a pay link on invoices, and acceptance of terms and cancellation policy. Deposits and terms are partly built, and card handling uses the payment processor's own rates.
