How can I make an invoice?
Short answerAn invoice needs your business name and contact details, a unique invoice number, the date, the customer's name and address, itemized services with prices, the total, the due date and payment instructions. A spreadsheet or document can do it, though a tool that pulls from the job saves retyping.
The explanation
Each piece has a job. The number lets you and the customer refer to it. The dates start the payment clock. The itemized lines show what the money covers, which prevents questions. The payment instructions turn a bill into an easy action.
If you charge sales tax, show it as a separate line, using the rate that applies where the work is done. Ask your accountant which services are taxable in your state. Add deposits already paid as a credit so the balance is right.
A free template is fine to start. As volume grows, retyping becomes the weak point: mismatched prices, missing jobs and inconsistent numbering. A tool that creates the invoice from the job record and numbers it automatically removes that class of error.
Steps
- Add your business name, contact details and logo.
- Assign a unique invoice number and date.
- List services and materials with prices.
- Show tax, any deposit credit and the total due.
- Add the due date and payment instructions.
What to watch for
- Two invoices sharing the same number.
- Totals that do not match the estimate.
How Apex does it

Part of this is built. The rest is not. Status as of 2026-10-07; the badge shows the least-built feature involved.
Apex is designed to build invoices from jobs with templates, tax rates by jurisdiction and customer purchase order numbers. Branding templates are partly built, and the rest are demo screens.
