How do I reduce no show rates?

Process: Cancellations and no-shows. Reviewed 2026-10-07.

Short answerTier your protection by job size: a card on file for short visits, a deposit for longer or custom work, and a written notice rule for all. Skipping then has a visible price, while loyal clients with small jobs are not asked to prepay. The policy only works if you enforce it consistently.

The explanation

A single rule for every job either under-protects the big ones or insults the small ones. A tiered approach fits the exposure. A thirty minute visit risks a thirty minute hole, so a card on file with a fee is enough. A half-day job or one with ordered material deserves a real deposit.

The notice rule defines the line between a polite cancel and a late one. State it as a time before the visit, such as twenty-four hours, and say what happens on the wrong side of it. Show it on the booking page, repeat it in the confirmation, and have the client accept it.

Enforcement is the part owners skip. Charge when the rule applies, and waive deliberately when you choose to, with a message saying it is a one-time courtesy. Clients accept firm rules applied evenly and resent surprises.

Steps

  1. Group your services into short, long and custom-material visits.
  2. Assign each group a protection level: card on file, deposit, or deposit plus signed agreement.
  3. Write the notice rule as a time before the visit and the consequence.
  4. Show it at booking, repeat it in the confirmation and apply it evenly.

What to watch for

  • Charging a fee you did not disclose before the booking. That invites chargebacks and complaints.
  • Asking regulars for large deposits on small jobs.

How Apex does it

In progress

Part of this is built. The rest is not. Status as of 2026-10-07; the badge shows the least-built feature involved.

Apex is designed to take deposits at booking, apply a cancellation policy with no-show fees and record the client accepting the terms. All three pieces are in progress, so check each badge before relying on them.
