Short answerHandle service calls with the same five captures every time: name, number, address, the problem and the best time. Then say what happens next and when. A repeatable routine matters more than a perfect script, since most calls arrive while hands are busy.

The explanation

Callers decide in the first half minute whether you are organized. Answer with your business name, listen without interrupting, then work through your five captures. Repeat the phone number and address back, since a wrong digit costs a trip.

Close every call with a next step and a time: a quote by tomorrow noon, a tech in a Thursday window, a call back within the hour. If you cannot commit to a time, say when you will tell them. Then do it.

Log the call before you take the next one. A short note with the date, the caller and what you promised means anyone in the office can pick up the thread. Calls you cannot answer need a plan too: voicemail with a clear message and a rule about when you ring back.
