How to handle a customer service call?

The explanation
The first minute sets the tone. Do not interrupt, and do not defend. People who feel heard drop their voices on their own. Take notes while they talk so you can restate the issue accurately, which also shows you were listening.
Offer one fix, not a menu. A return visit tomorrow morning, a credit, or a call from the owner today. Check that it works for them, and give a time you can hit. If the fix needs approval you cannot give on the call, say who decides and when they will hear back.
Afterwards, write down what was said and what you promised, then do it. A follow-up message a day after the fix, asking whether everything is right, turns many complaints into the most loyal customers. If the fix failed, you hear it directly and not through a review.
