How do I deal with customer complaints?

Short answerHandle a complaint with four moves: acknowledge it quickly, document what happened with photos and times, offer a specific fix or a clear explanation, and follow up after the fix. Speed and specifics matter more than the size of the remedy.

The explanation

The first reply sets the tone. Within a few hours, say you heard the problem and name what you will do next and when. You do not need to settle blame in the first message. You need to show the customer a person is on it.

Document before you decide. Record the date, the crew, the photos, and the customer's exact words. If the complaint is about work you did, return to look at it yourself. Judge fairly: some complaints are right, some are misunderstandings about scope, and the notes tell you which.

Close the loop. After the fix, contact the customer once to confirm it is resolved. That second message is what turns an annoyed customer into a loyal one. Review complaints monthly as a group. A repeating cause, such as late arrivals or missed items, points to a process fix that takes less money than apologizing each time.
