How to handle customers?
Short answerHandle customers by replying quickly, setting expectations in writing before the visit, telling them early when something changes, and following up after the job. A consistent routine across every customer matters more than a perfect personality, because most complaints come from surprises.
The explanation
Most customer trouble comes from gaps between what was expected and what happened. Close the gap before the visit: confirm the date, the arrival window, what is included and the price or range. A written confirmation takes a minute and prevents most arguments.
During the work, communicate changes. A late crew, a part that did not arrive, a bigger job than quoted. A short message that explains the change and offers a new time is worth more than a perfect result delivered in silence.
After the job, follow up. Ask if the result matched what they wanted, fix problems quickly and request a review if they are happy. Keep short notes on each customer, such as gate codes, pets and preferences, so the next visit feels personal.
What to watch for
- Leaving customers guessing about arrival time.
- Surprises on the final price.
- No notes, so each visit starts from zero.
How Apex does it
Built, rolling out
Built. A real server path exists; only setup steps remain before customers can use it. Status as of 2026-10-07; the badge shows the least-built feature involved.
Apex is designed to keep notes and activity history per customer, private staff-only notes, and send confirmation messages once messaging is connected. Notes are built; confirmations need a connected provider.
