How to deal with a customer complaint?

Short answerHandle a complaint by listening without interrupting, restating the problem in your own words, offering a specific fix with a date, and checking back after it is done. Speed and clarity calm most customers more than a discount or an apology that has no plan behind it.

The explanation

Start by letting the customer say everything. Then restate it in a sentence: the crew left at four, the grout was not sealed, the lawn was scalped by the fence. Restating shows you understood the real issue, which is often smaller or different from the first angry message.

Next, decide what you can honestly do. A redo, a partial refund, or an explanation if the complaint is unfair. Put the fix and the date in writing, by text or email, so there is no dispute later. If you cannot fix it, say so plainly and offer the closest thing you can.

After the fix, follow up a day or two later. That call is where many unhappy customers become repeat customers. Record what went wrong and what changed, so the same mistake does not come back through another crew.
