How do I deal with clients who keep adding to the job?

Process: Quotes and estimates. Reviewed 2026-10-07.

Short answerHandle added requests by writing the original scope down and pricing every addition before you do it. A short change order, agreed by text or signature, protects your margin and keeps the relationship friendly. Free extras set a precedent that is hard to reverse.

The explanation

Scope creep rarely starts with bad intent. A client sees you on site and thinks of one more thing. Saying yes casually teaches them that the price is flexible. Saying no coldly damages the relationship. The fix is a routine, not a refusal.

Write the scope on the quote in plain lines. When a request comes up, answer that you can do it and name the added price and time. Many clients drop small requests once they see a number. Those who agree give you written approval.

Keep a record of each approved change. When the invoice includes it, the client has already said yes. That record is also your defense if the total is questioned later. Some additions are worth doing free to keep a good client. Make that a deliberate choice, say it is a courtesy this once, and log it so it does not become the expected price.

Steps

  1. List the scope on the quote in separate, plain lines.
  2. When a new request arrives, state the added price and time before agreeing.
  3. Get a text or signature approving the change before starting it.
  4. Add the approved change to the invoice as its own line.

How Apex does it

Part of this is built. The rest is not. Status as of 2026-10-07; the badge shows the least-built feature involved.

Apex is designed with change orders, e-signature on quotes, and signature capture on job completion. Change orders are partly built, and the signature screens are built and not yet connected to saving real data.
