How to cancel service?
Short answerWhen a customer wants to cancel service, ask the reason, offer a pause or lower frequency if cost or travel is the issue, confirm the last service date and any final bill in writing, and note the reason on the record. A calm exit often brings the customer back later.
The explanation
Start with the reason. People cancel because of price, a move, a bad visit, a competitor or a change in need. Each has a different answer. A move or a vacation may only need a pause. A price concern might be met with a lower frequency. A bad visit deserves an apology and a fix.
If they still want to end it, make the end clean. Confirm the final visit date, whether a notice period applies, and any unpaid balance or contract term. Stop future visits and automatic charges so there are no surprise billings, and send the confirmation in writing.
Keep the record. Note the reason and date, and mark the customer inactive rather than deleting. Reasons add up to a picture of why people leave, and a reminder months later can win back a customer who paused for a season.

- Continuing to charge after the cancellation date.
- Deleting the customer instead of marking them inactive.
- Arguing the customer out of canceling.
