Reminder cadence: what it means
DefinitionA reminder cadence is the planned sequence and timing of messages sent before a scheduled visit, for example a few days ahead, the evening before and the morning of. The goal is to prevent no-shows without wearing out the customer with repeated messages.
How it works in a service business
Each reminder has a job. The early one lets the customer reschedule while the slot can still be resold. The close one confirms the arrival window. A final on-my-way message tells them the tech is moving. The tradeoff is annoyance: too many messages train customers to ignore them or opt out. A common mistake is using one cadence for every service. A weekly lawn customer needs fewer reminders than someone with a first-time deep clean. Match the cadence to the risk, keep each message short with one clear action, and send within sensible hours. Review your no-show list now and then, and tighten the cadence for the customers who actually miss visits.
Example
A first-time cleaning customer gets a message three days ahead, a confirmation request the day before, and a short note the morning of. A regular customer gets only the morning note.
