Customer portal: what it means

DefinitionA customer portal is a private web page where a customer can see upcoming visits, past service, quotes and invoices, and often reschedule, pay or send a message. It reduces phone calls by letting people serve themselves around the clock.

How it works in a service business

The most common calls to a service office are when are you coming, can I move this, and how much do I owe. A portal answers all three. The tradeoff is adoption: many homeowners never log in, so the phone must still work. Another is access: customers forget passwords, so a sign-in by link sent to their phone is often easier. A common mistake is exposing too much, such as internal notes or other customers' data. Ask what the portal shows, how customers sign in, and whether you can hide staff-only notes. Start by sending a portal link in confirmation messages so customers see a use for it, then watch how many call less often.

Example

A customer opens the link from her last reminder, sees next Tuesday's window, moves it to Wednesday and pays an open invoice in the same visit.
