CSV import: what it means

DefinitionCSV import is loading data from a comma-separated values file, which any spreadsheet can produce, into business software, for example a list of customers with names, phones and addresses. It is the most common way to move records between systems.

How it works in a service business

A CSV is just rows and columns of plain text, so almost every tool can read one. Success depends on preparation. Each column needs a clear header, phone numbers should be in one format, and each address should be split into street, city, state and zip if the product expects that. The tradeoff is manual cleanup against bad data landing in the system. A common mistake is importing the full file straight away. Try ten rows first, check how they look, then load the rest. Watch for dropped leading zeros in zip codes, merged cells that break columns, and duplicate customers. Keep the original file untouched in case you need to start over.

Example

An owner prepares a spreadsheet with six columns, imports ten test rows, finds zip codes lost their leading zero, fixes the format and then loads all four hundred customers.
