What should I test in a scheduling app demo or trial?

Process: Software pricing and choosing. Reviewed 2026-10-07.

Short answerTest a scheduling app with your worst week, not the sales path. Enter a recurring client who skips, a visit that runs long, a customer who reschedules twice, and a request that arrives after hours. Then check what reminders go out, what the customer sees, and whether you can export your data.

The explanation

Vendors demonstrate the smooth path. Your business lives on the rough one. Before the trial, write down five awkward situations from the last quarter and recreate each in the tool. If it handles four without a workaround, it likely suits you.

Check the customer side as well as yours. Open the booking page on a phone, submit a request as a stranger, and read the confirmation and reminder messages exactly as the customer would. Look at the reschedule link. Many problems only show up from that seat.

Finish with leaving. Export your customers, jobs, and invoices as files, and see whether they open cleanly. Ask what a cancellation involves, and what happens to your data afterward. A trial that ends with a clear exit plan is worth more than a polished demo.

Steps

  1. Write five awkward situations from the last quarter to recreate in the trial.
  2. Submit a booking as a stranger on a phone and read every message.
  3. Test reschedule, cancel, and a skipped recurring visit.
  4. Export your data and read the cancellation terms before committing.

How Apex does it

In progress

Part of this is built. The rest is not. Status as of 2026-10-07; the badge shows the least-built feature involved.

Apex is designed with a test mode or sandbox, sample data in a demo tenant, and a customer export as a CSV at any time. The test mode and export are partly built, and the demo tenant is a built screen not yet saving data.
