How do I stop paying for software I barely use in my air duct cleaning business?

Process: Software pricing and choosing. Trade: Residential cleaning (maid service). Reviewed 2026-10-07.

Short answerAudit what you opened in the last ninety days, then cut everything else. Air duct cleaning is mostly one-time work, so recurring billing, membership modules and marketing add-ons usually sit idle. Drop those first, remove seats nobody logs into, and move to monthly billing while you decide.

The explanation

Pull the usage list. Most platforms show last login per user and which features have data in them. A feature with no records in ninety days, such as a membership plan with zero members, is a charge for nothing.

Air duct customers are different from route customers. A home gets its ducts cleaned once in several years, so the valuable tools are quoting by vent count, a clear arrival window and a follow-up request for a review. Weekly route optimization and recurring invoices are built for other trades.

Cut in order of savings. First cancel add-ons. Then remove seats, giving helpers a printed or texted day sheet. Then ask whether a lower plan holds what is left. If you are on annual prepay, note the renewal date now so the cancellation window is not lost.

Steps

  1. List every user, add-on and plan with its monthly cost.
  2. Record last login and last record created for each.
  3. Cancel add-ons with no activity in ninety days.
  4. Remove idle seats and move to a lower plan.
  5. Set a calendar reminder two weeks before any renewal.

What to watch for

  • Annual prepay that renews quietly.
  • Cancelling a tool before exporting its customer list.

In residential cleaning (maid service)

Duct cleaning is quoted by vents or square footage and rarely repeats within years, so the useful features are quoting, scheduling and a review request. All residential cleaning (maid service) scheduling questions.

How Apex does it

Part of this is built. The rest is not. Status as of 2026-10-07; the badge shows the least-built feature involved.

Apex lists self-serve plan change and trial extension, and data export on cancel, each with its own status badge. Pricing counts users only, from $59 a month, so removing an idle seat lowers the bill directly.
