Should I get dispatch software?

Process: Software pricing and choosing. Reviewed 2026-10-07.

Short answerGet dispatch software when schedule changes cost you more time than the tool would, which usually starts at two crews or about a dozen stops a day. A solo operator with a paper route may not need it. The deciding question is how many calls and texts it takes to move one job.

The explanation

Count the pain. Write down how many times last week you rescheduled a job, called a tech to change a stop, or answered a customer asking where the crew was. If those total more than a few hours, a tool that shows one board to everyone will likely pay for itself in time.

Consider the shape of your work. Fixed recurring routes, like weekly lawn stops, can run well from a list for a while. Emergency or window-based work, like plumbing and appliance calls, breaks lists quickly because the day changes by the hour.

Try before you commit. Load a real week of jobs, hand the phone to a tech, and see whether they can find the address, the notes and the next stop without calling you. If the answer is yes, the tool is worth the monthly cost. If your crew will not open it, even a cheap one wastes money.

Steps

  1. Log one week of reschedules and where-are-you calls.
  2. Decide whether your work is route-based or window-based.
  3. Pick two tools and load the same real week into each.
  4. Have a tech run a day from a phone.
  5. Choose the one the crew actually opens.

What to watch for

  • Buying for features you will not use.
  • Skipping the crew test entirely.
