How to remind a customer to pay?

Process: Invoicing and payments. Reviewed 2026-10-07.

Short answerSend a short, polite message with the invoice link the day the invoice is due, then follow with a second note a few days later and a phone call after that. Keep each message to the amount, the due date and a one-tap way to pay. Escalate in tone only after a real silence.

The explanation

Most late payments are forgetfulness, not refusal. The first reminder should assume that. State the amount, the job it covers and the link, and thank them for their business. Do not mention fees in the first note.

The second reminder, a few days later, can be firmer and shorter. Name the due date that has passed and offer help if there is a question about the invoice. Many unpaid invoices hide a disagreement about the work, and a phone call finds it faster than a third text.

Set the rhythm once so it does not depend on memory. A fixed sequence of day of due date, three days after, and ten days after, with a call as step three, treats every customer the same. Write the late fee terms on the invoice from the start, since a fee mentioned only after the fact feels like a surprise.

Steps

  1. Put the pay link and due date at the top of every invoice.
  2. Send a friendly reminder on the due date.
  3. Send a second reminder three days later that offers help with questions.
  4. Call the customer by day ten and note the result.
  5. Apply a late fee only if the terms were on the original invoice.

What to watch for

  • Threatening tone in the first reminder.
  • Reminders that omit the payment link.
  • Late fees the customer never saw.

How Apex does it

Apex is designed to send automatic payment reminders with an online pay link and to apply late fees you set. Those screens are built as demos and are not yet saving real customer data.
