How do I handle recurring exterminator customers without losing track?
Short answerCreate the plan once, let it generate each treatment date, and log what was applied at every visit. Pest control customers sit on a quarterly or bi-monthly cycle with callbacks between, so the plan record should carry the cycle, the areas treated and the callback history in one place.
The explanation
A plan has three parts: the cycle, the scope and the price. Cycle is how often. Scope is what you treat, such as interior perimeter, exterior and specific pests. Price is per visit or per month. Store all three on the customer so no one guesses at the door.
Callbacks are where plans go wrong. A free return visit between treatments must be recorded against the plan, not as a new customer, or the cycle breaks and the next visit disappears. Keep a flag that shows a callback is open.
Finally, watch the overdue list. Sort customers by the date of their last treatment against their cycle, and call anyone a few weeks late before they cancel. Treatment records may be required by your state, so check your own rules and keep what they require.
Steps
- Create each plan with cycle, scope and price.
- Generate treatment dates from the cycle.
- Log callbacks against the plan, not as new customers.
- Review the overdue list weekly and call late accounts.
What to watch for
- Callbacks entered as separate customers.
- No record of treatments applied, which state rules may require.
In pest control
Pest control is a subscription of visits, so the business depends on each customer keeping their cycle and callbacks not disrupting it. All pest control scheduling questions.
How Apex does it

Part of this is built. The rest is not. Status as of 2026-10-07; the badge shows the least-built feature involved.
Apex lists recurring service plans and recurring jobs auto-generated, each with its own status badge, with a pest control pack listed too. Keep treatment records as your own state rules require.
