How to word a late fee on an invoice?
Short answerState the due date, the fee amount or rate, and the day it starts, in one plain sentence on the invoice and again in your written terms. For example: payment is due within a stated number of days, and a stated fee applies to balances left after that date. Check your state's limits.

A late fee works only if the customer agreed to it before the work. Put it in the estimate or service agreement, repeat it on the invoice, and keep the wording short. A fee that appears for the first time on a reminder looks like a penalty.
Be specific about four things: the due date, the amount or percentage, whether it is one time or repeats, and how to pay. Avoid vague phrases like as soon as possible. Say the number of days, counted from the invoice date.
Some states cap late fees or interest, and rules differ for consumers and businesses. Check your state rules or ask your accountant before you set a rate. Apply the fee consistently, and use judgment for a good customer who is a day late. A courtesy waiver can preserve the relationship while keeping the policy real.
