How to handle time zones in online scheduling?

Process: Booking and scheduling. Reviewed 2026-10-07.

Short answerHandle time zones by setting one business time zone for on site work, showing visit times in that zone, and converting only for remote calls such as consultations. A customer who travels or books from another zone should still see the local time of the service address.

The explanation

For field service, the job location decides the time. A plumber in one zone serving a house in the same zone needs no conversion. The risk is the calendar tool showing the customer their own zone while the crew sees the business zone, which can create a one hour mismatch.

Set your business zone once and make sure the booking page states it. For video consultations with customers in other places, show the time in both zones in the confirmation, or use a tool that converts automatically for the viewer.

Daylight saving changes cause quiet errors. Recurring visits set in the spring may shift an hour in autumn if the tool stores times incorrectly. Check one recurring series across the change date, and watch for service areas that straddle a zone border.

What to watch for

  • Different zones on the booking page and the crew calendar.
  • Recurring visits that drift after daylight saving changes.
  • Remote calls without both zones in the message.
