What dispatch software is worth a look for a small crew?
Short answerFor a small crew, favor a tool the technicians can read on a phone, that shows drive time between stops, sends customer messages from the same record and lets you export your data. Run a real week of jobs through a free trial before you pay, and let a technician try it too.
The explanation
Start with the crew view. A technician should open the app and see today's stops in order, with address, notes and a one-tap navigation handoff. If they need a login on a desktop to find the next job, the tool will not stick.
Then check the office view. Can you move a job and see the effect on drive time? Does the customer get a message without you typing it? Is a reschedule one step or five? Count the clicks for the three changes you make most often.
Finally, check the exit. Ask how to export customers and history, whether setup is self-serve, and what happens to your data if you stop paying. A fair tool lets you leave with your list. Compare pricing on each vendor's own page, since plans and per-user rules change.
Steps
- Write down the five things you do most in a day.
- Load one real week of jobs into the trial.
- Have a technician run a full day from a phone.
- Count clicks for a reschedule and a customer message.
- Test an export before you commit.
What to watch for
- Judging by a demo and not your own data.
- Overlooking per-user charges as the crew grows.
How Apex does it

Part of this is built. The rest is not. Status as of 2026-10-07; the badge shows the least-built feature involved.
Apex gives technicians a turn-by-turn navigation handoff and shows drive time between stops. The setup wizard is built, and a customer export is partly built. It is early access with one business using it.
