AI receptionist: what it means

DefinitionAn AI receptionist is software that answers business phone calls using synthetic speech, asks the caller questions, and records or routes the request. It can take messages and collect addresses at any hour, but its quality depends on setup and on how well it handles unusual calls.

How it works in a service business

For a crew that spends the day on ladders, answering every call is impossible. An AI receptionist can greet callers, ask what service they need and where, and pass the details to the owner. The tradeoff is trust and edge cases: callers with emergencies, accents or odd requests can confuse it, and some people dislike talking to software. A common mistake is letting it promise prices or times it cannot be sure to keep. Limit it to gathering information and offering a callback or a booking request, and give callers a quick way to reach a human. Usage is typically metered, so check how minutes are billed and review recorded summaries often in the first weeks.

After hours, a caller describes a leaking water heater. The AI receptionist records the address and phone number, tells her the owner will call in the morning, and sends the summary.
