Pool service: scheduling questions answered

Trade group: Outdoor and agriculture. Reviewed 2026-10-07. Main site page: Pool service.

How it worksPool service is a weekly route. A tech visits the same pool on the same day each week, tests the water, adds chemicals, cleans the filter and skimmer, and moves on. Summer is the peak, spring brings openings and fall brings closings in cold states. Customers are homeowners and some commercial properties, such as apartments and hotels. A route of pools is a stop list, and the money is in stops per day.

How scheduling works in this trade

  • Each pool has a fixed weekly day, and the route is the product. Adding a customer means finding a day where a tech is already nearby.
  • Chemical readings at each visit drive what gets added, so the record of readings and doses matters for both the next tech and a dispute with a customer.
  • Spring openings and fall closings create short, intense peaks outside the weekly cycle, and they need extra crew and a firm booking order.
  • A green pool or a repair call is an exception that interrupts the route, and needs a window rather than a weekly slot.
  • Some states require a licence or certification for pool work, and handling chemicals brings safety rules. Check with your state before relying on any tool.

Rules note from our trade research: CPO certification (some states licence). This is not legal advice; confirm with your own licensing body.

Questions owners ask

How do I schedule a weekly pool service route?

Set each pool as a recurring stop on a fixed weekday and order the stops to minimize driving. Add new customers only on days when a tech is already nearby. A skip or pause handles vacations and rainy weeks without breaking the pattern for the following visit.

How do I record chemical readings and doses at each pool?

Have the tech log the water test and the chemicals added on the visit, and attach a photo of the test if needed. A history per pool shows trends, helps the next tech and settles disputes. Some water test devices can send readings in, but not every one is supported.

How do I handle spring openings and fall closings?

Sell them as seasonal services with a booking window, collect a deposit and group them by area. Cap the daily number so crews are not overbooked. Send a reminder to past customers early in the season, since many wait until the first warm week and then all call at once.

What should a pool service company do about a green pool call?

Treat it as a separate one-time job with a quote, not as a weekly slot. Offer the next open window, set expectations about several visits, and photograph the before state. A green pool often becomes a recurring customer if it is handled calmly.

How do I bill pool customers monthly?

Put the weekly service on a recurring plan with autopay by card on file, and invoice chemicals as extras when they exceed the plan. Monthly billing smooths cash through the year. Send a card update link when a payment fails instead of calling.

How many pools can a tech service in a day?

It depends on pool size, route density and the work each pool needs, so there is no standard figure. Measure your own stops per day and drive time for a month, then use it to price new routes. Dense routes lift stops per day more than any other change.

Do pool service workers need a certification or licence?

Many places require a pool operator certification for commercial pools, and some states license pool contractors. Rules differ widely. Check your state and county health or licensing office. A scheduler can store licence details and expiry dates but cannot tell you what is required.

How do I tell customers when the tech is coming?

Send a message the day before or an on-my-way text on the day with an estimated arrival, and tell them if a gate needs to be left open. Weekly customers care most about the same day each week, so notify them of any change early.

How do I add a new pool customer to an existing route?

Collect the address and gate access on the request, then offer only the days where a tech is already nearby. Confirm the start date and weekday, and add the stop to the route. Booking by zone avoids a one-off customer on the far side of town.

What should a pool company move off paper first?

Move the route list and the customer notes first, including gate codes, dog warnings and equipment details. Then move billing and the chemical log. Import your customer list, and ride along with a printout for the first week as backup.

What owners dislike in an old scheduler, for pool service

Each item carries a label. Sourced items adapt a complaint with evidence links in our evidence register. Searched by owners items come from real search suggestions. Our read items are our own analysis of this trade, not measured complaints.

  • SourcedOwners report tools with no route logic. For a pool route, a jumbled stop order costs drive time on every one of the weekly stops. Evidence item 13 (4 sources)
  • SourcedOwners report apps that lose notes when the signal drops. A tech in a backyard with a weak signal cannot afford to lose a chemical log. Evidence item 7 (4 sources)
  • SourcedOwners report prices that rise after the first year. A route business with thin per-stop margins plans on a known software cost. Evidence item 5 (4 sources)
  • SourcedOwners report paying more for each new hire. A pool company adds techs as it adds routes, so a per-seat price rises with growth. Evidence item 1 (4 sources)
  • SourcedOwners report stitching several tools together. A pool company can end up with routes in one app, chemicals in another and billing in a third. Evidence item 14 (5 sources)
  • SourcedOwners report features sold as add-ons that stack. A pool company needing routes, a chemical log and autopay can face three separate charges. Evidence item 16 (5 sources)
  • SourcedOwners report that updates keep moving the buttons. A tech who uses the app forty times a day feels every layout change. Evidence item 8 (5 sources)
  • SourcedOwners report difficulty getting their data out. A route list with gate codes and equipment history took years to build and must be exportable. Evidence item 9 (4 sources)
  • Our read, not a measured complaintOur read: pool chemistry data ties to a pool, not to a visit, so tools that log it only as a job note lose the trend.
  • Our read, not a measured complaintOur read: most general schedulers handle one-time jobs well, but a weekly pool route is a recurring stop list, and that is where they feel clumsy.

Honest limits

Apex does not replace a water chemistry system, and its pool pack and dosing calculator are demo features. Water test integrations are partly built, not all brands. It makes no certification or safety claims. Confirm your pool operator and chemical handling rules with your state and county.
