Moving company: scheduling questions answered
How it worksA move is booked weeks ahead around a date the customer cannot change: a lease end, a closing or a job start. - Long-distance moves have a pickup date and a delivery window that can span days, and the customer needs a way to see where things stand.
- Arrival windows are the main complaint, because the customer is waiting for the truck, so a message when the crew leaves for the address matters.

How do moving companies schedule estimates and move days?
An estimator visits, or the customer completes a video or online inventory, and the company quotes by hours or weight. When the customer accepts and pays a deposit, a move day is reserved with a truck and crew. Confirm the date by message and send a reminder the day before.
How do I avoid double-booking trucks and crews?
Treat trucks and crews as separate resources and check both when you confirm a move. A move day is only real when a truck, a crew and a lead are all assigned. A resource view that shows each truck's day helps spot a conflict before the customer is promised a date.
How do I give an accurate arrival window for a move?
Use windows such as morning or afternoon, based on how long the earlier jobs run, and send a message when the crew leaves for the address. Customers tolerate a window if they know where the crew is. Do not stack too many jobs on one crew in a day.
How should I price moving jobs?
Local moves are commonly quoted by the hour with a minimum, a set crew size and a truck fee, while long-distance moves are quoted by weight or volume and distance. Moving rates and licensing are regulated in many states, so check your state's rules before you publish a price.
Is there free scheduling software for a small moving company?
Some tools have free tiers, but a free plan may limit users, texts or the features you need on move day. Test it with a real busy weekend before trusting it. Whatever you choose, check how you can export your customers and jobs if you outgrow it.
How do I handle a deposit and cancellations for a move?
Take a deposit to hold the date, and write down when it is refundable and when it is not. A cancelled peak-weekend move leaves an empty truck and crew, so many companies set a cutoff, such as a number of days before. Show the rule when the customer books.
How do I schedule long-distance moves?
Set a pickup date and a delivery window, and keep the customer updated at each stage. The job is a series of steps, loading, transit and delivery, not one event. Note the legal requirements: interstate moves are regulated federally and many states regulate local movers, so confirm your licences.
How do I get proof that the move was completed?
Have the customer sign off on completion, with a note on any damage or missing items, and attach photos taken at pickup and delivery. A signed record on the job settles most disputes later and speeds up any claim made to your insurer.
How do I manage the summer peak?
Offer weekday and mid-month dates at a lower price to spread demand, cap the number of moves per day to your trucks and crews and hire seasonal movers early. Keep a waitlist for sold-out weekends so a cancellation can be refilled by a customer who is already ready.

Honest limits
