How to switch from Workiz in an afternoon, with undo
The planA small Workiz account can often move in an afternoon, but we could not verify how Workiz exports data. [3] [3] Look in its own help center first. Apex import tools for competitor files are a demo so far, so check each record by hand.
Before you start
- Find the export tools in Workiz's help center before you change anything. [3]
- Keep your Workiz account open and paid until Apex has run a full cycle. [3]
- Write down recurring jobs and service plans with price and day.
- List connected tools, phone numbers and automations.
- Ask Workiz in writing how your phone number can be moved or kept. [3]
The steps
- Export from Workiz [3]Open Workiz's own help center and search for client and job export. [3] We could not read those pages, so we did not verify the file format or who is allowed to export. [3]
- LD16Customer export (CSV) at any time(In progress)
- Check the fileOpen each export in a spreadsheet and scan for blank phones, duplicate clients and address problems. Keep an untouched original, and fix a copy so you can always compare back to the source.
- LD11Duplicate customer detection and merge(Rolling out)
- Import into Apex and compareLoad the copy into Apex and use the side-by-side check against the original rows. The import path is a demo and is not connected to saving real data yet, so expect some manual entry.
- OB02Import from competitor with side-by-side check(Rolling out)
- OB04Import from Jobber / HCP / Workiz / ServiceTitan exports(Rolling out)
- LD15Customer import from CSV/other software(In progress)
- Re-create recurring schedulesRebuild each service plan and recurring job from your notes. Recurring generation is partly built, so check the first generated visits against what you ran before.
- RC01Recurring service plans (weekly/monthly)(Rolling out)
- SC10Recurring jobs auto-generated(In progress)
- Test a request end to endSend a test request through the Apex booking page. It should arrive pending. Confirm it, and watch the calendar entry and the reminder settings, then try the customer's reschedule link.
- BK11Booking requires owner approval (request mode)(Built)
- BK24Reschedule / cancel link for customer(Built, rolling out)
- CM03Appointment reminders (SMS/email)(Built, rolling out)
- Run both for a full cycleRun Workiz and Apex together for one billing cycle. [3] Put new work into Apex, compare both calendars each morning, and fix the cause of each mismatch before cutting over.
- OB14Switch protection (never lose data, ledger)(Rolling out)
- Cut overWhen both agree for a full cycle, switch your website booking link to Apex. Phone answering and texts stay off until your own provider account and number registration are set up.
- CM0210DLC / registration handled for you(Rolling out)
- AI01AI receptionist answers calls(In progress)
- Keep the backupSave every export in a folder you control. Workiz's cancellation terms were not on the pages we read, so ask in writing before you end the old account. [3] [3]
- AD10Data export on cancel(In progress)
Apex status for the import and switch tools is shown beside each step. Status as of 2026-10-07.
Undo plan
In progress
To undo the switch, keep the old Workiz account open until Apex has run a full cycle, and ask Workiz in writing about its cancellation terms, which we could not verify. [3] [3] Move your booking link back if needed. Apex switch protection is a demo, and data export on cancel is partly built.
- OB14Switch protection (never lose data, ledger)(Rolling out)
- AD10Data export on cancel(In progress)
Switching questions
How do I export my data from Workiz [3]?
Look in Workiz's own help center. [3] Its export pages returned an access error when we tried, so we did not verify the steps or file format. [3] Ask support if you cannot find them.
