How to switch from ServiceTitan in an afternoon, with undo
The planA small account on ServiceTitan can move to Apex in an afternoon only if the data is simple. [2] [6] Larger operations with inventory, payroll and project history will take much longer, and Apex may not cover them. Import tools for competitor files are a demo so far.
Before you start
- Ask your account owner which users may run exports.
- Keep your ServiceTitan account active until Apex has run a full cycle. [2]
- Write down memberships, recurring schedules and their prices.
- List every integration and payroll or accounting link you use.
- Decide what Apex does not need to carry over, such as inventory.
The steps
- Export from ServiceTitan [6]The help center describes opening Search, choosing Customers with no filters, and exporting to an xlsx Excel file. [6] Export other record types separately, and check the help center for their steps.
- LD16Customer export (CSV) at any time(In progress)
- Check the fileOpen the spreadsheet and scan for missing phones, duplicate customers and multiple locations squeezed into one row. Keep an untouched original and work on a copy to compare back against.
- LD11Duplicate customer detection and merge(Rolling out)
- LD02Multiple properties / service locations per customer(Rolling out)
- Import into Apex and compareLoad the copy into Apex and use the side-by-side check against the original rows. Import is a demo and is not connected to saving real data yet, so confirm every row on screen.
- OB02Import from competitor with side-by-side check(Rolling out)
- OB04Import from Jobber / HCP / Workiz / ServiceTitan exports(Rolling out)
- LD15Customer import from CSV/other software(In progress)
- Re-create recurring schedulesRebuild memberships and recurring jobs from your notes, with day, price and arrival window. Recurring service plans are in demo form, so verify the first visits that Apex creates.
- RC01Recurring service plans (weekly/monthly)(Rolling out)
- SC10Recurring jobs auto-generated(In progress)
- Test a request end to endSend a test request from the Apex booking page. It should arrive pending. Confirm it, check the calendar entry and reminder settings, and open the customer's reschedule link.
- BK11Booking requires owner approval (request mode)(Built)
- BK24Reschedule / cancel link for customer(Built, rolling out)
- CM03Appointment reminders (SMS/email)(Built, rolling out)
- Run both for a full cycleRun ServiceTitan and Apex side by side for a full billing cycle. [2] Enter new work in Apex, compare calendars every morning, and fix every mismatch at the source before cutting over.
- OB14Switch protection (never lose data, ledger)(Rolling out)
- Cut overWhen both agree for a full cycle, point your website booking link at Apex. Texting stays off until your provider account and carrier number registration are complete.
- CM0210DLC / registration handled for you(Rolling out)
- BK02Embeddable booking widget for website(Built, rolling out)
- Keep the backupStore every export where you control it. We did not read ServiceTitan's cancellation terms, so confirm them in your own agreement before ending the old account. [2] [2]
- AD10Data export on cancel(In progress)
Apex status for the import and switch tools is shown beside each step. Status as of 2026-10-07.
Undo plan
In progress
To undo the switch, keep ServiceTitan open until Apex has run a full cycle, and check your own agreement for cancellation terms, which we did not verify. [2] [2] Point your booking link back if needed. Apex switch protection is a demo, and data export on cancel is partly built, so keep your own export files.
- OB14Switch protection (never lose data, ledger)(Rolling out)
- AD10Data export on cancel(In progress)
Switching questions
Can I export my customers from ServiceTitan [6]?
The help center describes exporting the unfiltered customer list from Search to an Excel xlsx file. [6] It did not say which roles are allowed, so check your permissions with your account owner.
Is Apex a replacement for a large ServiceTitan setup [2]?
Probably not today. ServiceTitan lists project management, inventory and payroll tools. [2] [3][4] Apex is early access with one business as its only tenant, so it suits simpler small businesses first.
What does ServiceTitan cost [2]?
Its pricing page says pricing is per technician and shows no dollar figures. [2] Ask for a written quote for your team size and note what each plan includes.
