How to switch from Service Fusion in an afternoon, with undo

The planFor a small business the goal is one afternoon of setup and one cycle of side-by-side running. Large histories take longer. Import tools from competitors into Apex are demo status, not connected to saving real data, so plan to check by hand.

Before you start

  • Export your customer list from the old system, or screenshot it if no export exists.
  • Keep your old account open and paid.
  • Write down every repeating customer with interval and price.
  • List integrations you use, such as QuickBooks [8].
  • Pause automated texts in the old system before the cutover day.

The steps

  1. Find the export in your current softwareLook in the vendor help center first and note what it offers, since the export location and file format were not verified. Do this first, before you touch anything in Apex, and save the files to a folder you control.

  2. Check the file by eyeOpen the exported customer list and count the rows. Spot check ten customers against what the old screen shows: phone, address, notes. Fix obvious gaps in the spreadsheet now.

  4. Rebuild recurring schedulesRead repeating jobs from the schedule screen, since their storage was not verified. Write each repeat customer, interval and price on paper first, then recreate the plan in Apex and compare the next three dates.

  5. Test one request end to endSubmit a test request through the Apex booking page. It arrives pending, you confirm it, and only then does it become a confirmed visit. Check the reminder and the invoice that follow.

  6. Run both systems for a full cycleKeep the old account open and running one full billing or service cycle, such as a month for monthly customers. New jobs go in Apex while old history stays reachable in the old account.

Undo plan

Keep the Service Fusion account open until Apex has run one full cycle, which is how you undo the move at no risk: stop using Apex and carry on [4]. Switch protection is demo status and data export on cancel is partly built, so keep your own copies and do not assume an automatic rollback exists.

Switching questions

Can Apex import my old data?

Import from competitor exports is demo status: built and tested but not connected to saving real data. Plan on manual checking, or ask about done-for-you migration, which is partly built.

Do I need to cancel the old account first?

No. Its pricing page describes month-to-month plans with no contract [4]. Keep it open until Apex has run a full cycle. Confirm cancel terms with the vendor.

What about my customers who get automated texts?

Pause them in the old system on cutover day. In Apex, texting needs your own provider account or a prepaid wallet that is rolling out, plus carrier number registration.
